This position is crucial for the smooth functioning of the UNHCR office in Toronto. The candidate who will be selected gives the highest level of administrative support to program officers, regional staff, and partners; hence, they must be able to handle efficient coordination and the implementation of the main functions.

One of the following educational and experience combinations qualifies you for this position:

  • Bachelor’s Degree or equivalent + 1 year of relevant work experience

💼Preferred Experience Includes:

  • Administrative, secretarial, or office management experience
  • Budget tracking or financial reporting skills
  • Proficiency in modern office software (e.g., Microsoft Word, Excel, Outlook)
  • Experience working within UN agencies, NGOs, or humanitarian settings
  • Familiarity with refugee, migration, or asylum processes (not mandatory but advantageous)

🧩 Key Responsibilities

 

 

Being a senior administrative assistant, you will be the person who makes sure everything runs smoothly in the Toronto office daily. Your duties will be

✅ ⁣Administrative Support:

  • Scheduling appointmentsKeeping track of unit budgets and spending
  • Helping with financial reports and paperwork
  • Organizing payments and talking with vendors
  •  Procurement & Asset Management: Overseeing the purchasing of goods and services
  • The responsibilities also include updating asset inventories and managing purchase orders.
  • Taking care of quotation requests and talking with vendors
  • Human Resource Support: Helping with recruitment, onboarding, and staff records
  • Monitoring leave records, attendance, and contract renewals
  • Data & Records Management: Keeping digital and paper filing systems up to date
  • Making sure data is confidential and there is compliance with internal policies
  •  Internal & External Communication: Doing the job of a conduit between UNHCR and other stakeholders such as government agencies, NGOs, or UN Making it easy for
